Free still has conditions
Community Edition may help with evaluation and permitted small environments. Check the current EULA, workload limits and rules for commercially servicing another organization’s infrastructure. The word “Community” does not authorize every integrator scenario.
Where a commercial model matters
Compare entitlements, support, protected workloads and edition functions. If the company relies on a contractual support channel, confirm that the selected license includes it. A free product does not create a vendor obligation to resolve incidents within your deadline.
Backup is a system
A working job does not prove recoverability. Separate storage, retention, deletion protection, monitoring and testing are needed. A commercial license does not replace these elements, and a free edition does not remove the need to design them.
Universal License and legacy rights
VUL counts protected workloads under the product’s rules. Legacy socket entitlements and transitions require current license details. Microsoft 365 and agents are checked separately: the same manufacturer name does not imply identical counting rules.
Decide through risk
Record acceptable data loss as RPO and recovery time as RTO. Where outages affect company operations, choose around tested recovery and support rather than price alone. Request entitlement comparisons and implementation scope as separate quote items.
Questions before implementation
List VMs, physical servers, workstations and cloud data. Identify systems that must recover together: a database without its application server may not restore business operations. Check the appropriate product and counting unit for each workload instead of applying one edition’s rule to another.
Ask specific support questions: who opens tickets, where contract identifiers are stored and how logs are shared without secrets. For a free option, document limits and an accountable owner. For a paid option, verify the obligations actually included. The final design should show usage entitlements and the technical recovery arrangement; a price list alone answers neither completely.

This guide helps prepare questions; it does not replace the supplier’s current specification. Plan contents and program rules can change. Confirm the exact edition and entitlement at the order date, and verify implementation against agreed criteria.
