Your platform brings operating duties
Consider Kerio Connect when the company wants control over its email platform on its own infrastructure or a selected hosting site. Control brings responsibility for updates, availability, disks, certificates, protection and backup. Evaluate those responsibilities before selecting an edition.
Compare operations
An Exchange or cloud-email comparison should include administration, users, integrations and migration. Identify who changes DNS, checks delivery and restores mailboxes. Without a dedicated administrator, a managed service may be the more appropriate choice.
Migration is more than messages
Check calendars, contacts, shared mailboxes, rights and archives. Different source systems do not transfer identical objects through one tool. A pilot with representative mailboxes exposes limits before mass cutover. Retain the source copy until acceptance.
Specification essentials
Identify the server, OS, users, modules, retention and backup. The supplier confirms the minimum package and current subscription model. A successful send/receive check does not replace recovery testing after a server loss.
Administrator questions
Who receives a disk-full alert? How is a deleted mailbox restored? Where is the backup stored? How are certificates renewed? What happens when the administrator leaves? If these questions have no answers, design the operating service before purchasing licenses.
Operating cost beyond the license
An email-server estimate includes hosting or equipment, OS, disks, a recovery platform and administrator hours. For a cloud alternative, evaluate connectivity, user management and data migration separately. Comparing annual license prices alone can hide the main expenses.
Test incoming and outgoing messages with domains the company frequently uses. DNS settings and sender reputation affect delivery but are not fixed simply by buying software. The operator must know where logs are, how updates run and who receives incident requests. These duties should be explicitly included in the support scope: “email works” does not define responsibilities.
Before deciding
This guide helps prepare questions; it does not replace the supplier’s current specification. Plan contents and program rules can change. Confirm the exact edition and entitlement at the order date, and verify implementation against agreed criteria.
