Start with roles, then editions
A company rarely has one workflow for everyone. Some staff work in a browser, finance uses complex files and managers connect from personal devices. Group needs into browser work, desktop apps and managed device security. This is more useful than buying one edition for every employee.
Basic: email and browser work
Consider Business Basic when a web interface is sufficient. Check offline work, macros and document compatibility. Being able to open a file in a browser does not eliminate a desktop-app requirement. Email migration, domain setup and training are separate engineering tasks.
Standard: local document workflows
Business Standard suits roles requiring desktop applications. Evaluate the whole workflow: opening files, editing, sharing, storage and collaboration. Access to an application does not mean access policies and backups are configured.
Premium: security needs deployment
Business Premium adds device-management and security scenarios. They need configuration: device ownership, MFA requirements and procedures for a lost laptop. If nobody administers these features, purchasing the advanced plan does not solve the security problem by itself.
Selection matrix
| Role | Check | Direction |
|---|---|---|
| Browser work | Connectivity and web apps | Basic |
| Local files | Compatibility and offline use | Standard |
| Managed devices | Policies and security | Premium |
Business plans are limited to 300 users. Confirm Teams inclusion, the exact SKU and add-ons in the quote. Larger or more complex organizations should compare Enterprise options.
Run a pilot before broad purchasing
Choose a representative from each work role. Ask them to complete ordinary tasks: open a complex document, hold a meeting, send email and connect away from the office. Record where desktop apps are necessary and what information cannot stay on personal devices. The pilot output is a role-and-requirement matrix, not a general satisfaction comment.
Compare three cost lines: subscription, initial setup and ongoing administration. Establish who changes rights when staff join or leave. Consider Microsoft 365 backup separately: cloud availability and recovery control address different needs. Do not assign Copilot automatically to everyone; check the base plan, permissions and actual use cases first.
Before deciding
This guide helps prepare questions; it does not replace the supplier’s current specification. Plan contents and program rules can change. Confirm the exact edition and entitlement at the order date, and verify implementation against agreed criteria.
